What data we collect and why
Browsing
Like any website, the server automatically records some technical data about each request in its logs: IP address, date and time, requested page, browser type. This is needed to run the site and protect it from abuse; it is not used to identify or profile you, and it is kept for as long as the hosting provider’s log rotation requires. The legal basis is our legitimate interest in keeping the site secure (Art. 6(1)(f) GDPR).
Newsletter
If you subscribe to the newsletter we collect your email address and, if you give it, your name. We use them only to send you the newsletter: news about the festival, our productions and open calls, no more than once a month. The legal basis is the consent you give by subscribing (Art. 6(1)(a) GDPR).
The list is managed by Brevo, the platform that sends the emails. Your data is kept for as long as you are subscribed: every newsletter has an unsubscribe link, and you can also write to info@videosoundart.com.
To prevent automated mass sign-ups, the site counts subscription attempts from the same IP address for ten minutes. The address is not stored in clear, only as a non-reversible fingerprint (hash), which is deleted when the ten minutes are up.
Emails you send us
If you contact us by email, we use your address and what you write only to reply and follow up on your request.
No accounts, no comments
Visitors cannot register on the site and comments are not accepted. The only accounts are those of the editorial team who update the content.
Cookies
The site only uses the technical cookies it needs to work. Everything else starts only if you choose so in the banner shown on your first visit.
Technical cookies, always on
- vsa_consent — remembers the choices you made in the cookie banner. It lasts 6 months, after which you are asked again.
- wp-wpml_current_language — remembers the language you are browsing in (Italian or English). It lasts one day.
- Anyone who logs in to the admin area also receives WordPress login cookies. They only concern the editorial team, not visitors.
These cookies do not profile you, are not shared with third parties and, by law, do not require consent.
Statistics, only with your consent
To understand which pages are read we use Google Analytics 4, provided by Google. It only runs if you accept “Statistics” in the banner: before consent the script is not loaded and your browser does not contact Google. The legal basis is consent (Art. 6(1)(a) GDPR), which you can withdraw at any time.
Google Analytics collects data about the visit — pages viewed, the page you came from, device and browser type, approximate city or region — and links it to a random identifier stored in a cookie, not to your name. Google Analytics 4 does not log or store IP addresses. The data stays in the account for the configured retention period, at most 14 months, and is used only for aggregate statistics: we do not use it for advertising or to profile you. Editorial staff are not counted while logged in.
- _ga — tells one visitor from another with a random number. It lasts 2 years.
- _ga_YPKV3HJQ4T — keeps the Google Analytics session state for this site. It lasts 2 years.
If you withdraw consent, the site deletes these two cookies and no longer loads the script. Google’s privacy policy: policies.google.com/privacy; how Google uses data from sites that use its services: policies.google.com/technologies/partner-sites.
External content: videos and podcasts
Some pages contain videos hosted on Vimeo or YouTube and podcasts hosted on Spotify. Until you consent, this content is not loaded: in its place you see a preview, which is served by our site and contacts no one. If you accept “External content” in the banner, or click the preview of a single item, the player is loaded from the provider, which from then on receives your IP address and may set its own cookies under its own policy: Vimeo, YouTube (Google), Spotify. YouTube videos are embedded in privacy-enhanced mode (youtube-nocookie.com).
How to change your choices
You can change or withdraw your consent at any time from the “Cookie preferences” link at the bottom of every page. You can also delete cookies in your browser settings.
Other external resources
The site’s fonts and images are served by our own server, not by third-party services. The Google Maps links on venue pages are plain links: Google only receives your data if you open them, and from then on its own policy applies.
Who receives the data
- Keliweb S.r.l. (Italy), which hosts the site and its logs, as data processor.
- Brevo (Sendinblue SAS, France), which manages the newsletter list and sending, as data processor.
- Google (Google Ireland Limited, Ireland), for Google Analytics and only if you consent to statistics, as data processor. Data may be transferred to Google LLC in the United States, which is certified under the EU-US Data Privacy Framework.
- Vimeo, Google (YouTube) and Spotify, only if you consent to external content, as independent controllers. These providers may process data outside the European Union, including in the United States, with the safeguards required by the GDPR.
We do not sell or pass on your data to anyone else.
Your rights
At any time you can ask to access, correct or delete your data, restrict its processing, receive it in a readable format (portability) or object to its processing (Arts. 15–22 GDPR), and you can withdraw any consent you gave, without affecting what was done before. Just write to info@videosoundart.com.
If you believe the processing of your data breaches the GDPR, you can lodge a complaint with the Italian Data Protection Authority, the Garante per la protezione dei dati personali (garanteprivacy.it).
Changes to this policy
This page is updated whenever the way the site handles data changes. Last updated: 5 October 2026 (Google Analytics added).
